SUMMARY OF RESPONSIBILITIES: The Washington Office on Latin America (WOLA) seeks a Finance and Operations Manager for a busy 25-person office working on human rights and U.S. policy in Latin America and the Caribbean. The Finance and Operations Manager is responsible for administering, maintaining and improving all office financial, organizational, and operational systems. The employee will maintain the accounting books, coordinate budgets, analyze operational systems, oversee the maintenance of the IT systems and supervise the administrative work. Strong candidates will have office management and supervisory experience, computer experience, good communication and organizational skills, non-profit bookkeeping, accounting and budgeting experience, knowledge of Quickbooks and Excel and a commitment to human rights and socioeconomic justice in Latin America.
SUPERVISORS: Executive Director, Program Director
RESPONSIBILITIES:
1. Solve problems and take on new projects to improve the administration of the office.
2. Handle regular bookkeeping duties (process accounts payables and receivables, petty cash)
3. Manage and maintain financial records (chart of accounts, general ledger, bank statement reconciliation)
4. Prepare monthly financial reports for the Executive Director, the Treasurer of Board of Directors, and program staff.
5. In coordination with relevant staff, prepare budget proposals for grants and financial reports to donors.
6. In coordination with relevant staff and Executive Director, prepare annual programmatic budgets and monitor throughout the year.
7. In coordination with the Executive Director, prepare total annual organizational budget, and monitor throughout the year.
8. Manage monthly timesheets from staff and monitor staff program and vacation time.
9. Coordinate annual financial audit.
10. Train new associates in the creation and tracking of budgets.
11. Office management and administration
a. Ensure smooth day-to-day running and presentation of office.
b. Manage all Tenant/Landlord and vendor relations.
c. Manage the purchase and maintenance of office equipment and supplies.
d. Provide new employee orientation.
12. Manage and oversee all office computer and communication systems (computer network, telephone system, printers, troubleshooting, etc).
13. Work with Fundraising staff to coordinate publication sales.
14. Handle all Human Resources activities – registering staff for benefits, arranging trainings, handling complaints
15. Other tasks as assigned by the Executive Director.
QUALIFICATIONS:
1. Minimum of 4 years non-profit administration experience.
2. B.A. in Finance, Accounting or at least two years bookkeeping experience required.
3. Office management and budget experience preferred.
4. Excellent organizational, administrative, and communication skills; strong team orientation; willingness to help, follow-through and attention to detail.
5. Flexibility and initiative; ability to work in a fast-paced office environment; Analytical and problem solving skills.
6. College degree required. Knowledge of Spanish a plus.
7. Experience in nonprofit fund accounting and grant management required.
8. Strong computer skills required, including experience with Microsoft Excel and Outlook. Experience coordinating with IT support highly desired.
9. Experience using accounting software and Excel spreadsheets required. QuickBooks experience preferred.
10. Excellent organizational skills, follow-through and attention to detail
