The American Society of Clinical Oncology (ASCO) has a fantastic opportunity for a high-performing and experienced Administrative Associate with strong attention to detail and excellent administrative skills to join our progressive Publications Department. You will provide comprehensive support to the Senior Director & Executive Editor, in addition to assisting with publications-affiliated activities and initiatives working with our editorial and production staff. The successful candidate will be able to complete multiple tasks in a fast-paced and professional environment while being able to proactively anticipate needs in advance.
Responsibilities include: - Manage daily calendar and scheduling; coordinate travel itineraries and prepare expense reports; compose correspondence, including meeting notes; and respond to departmental inquiries and vendor communication
- Support the Publications Department by organizing and compiling reports, including data for marketing, production and circulation; partnering with other support staff to oversee workflow and processes; and maintaining the departmental calendar of events
- Coordinate meeting logistics and conference calls; prepare PowerPoint presentations and materials; and assist with committee arrangements
- Perform a broad range of administrative support functions; manage departmental files and contracts; and maintain supplies and inventory
- Assist with the budgeting process while monitoring expenses and invoices
To qualify for this position, the candidate must possess:
- Minimum 5-6 years of solid administrative assistance experience, most recently in support of senior level staff
- Associate degree or equivalent training or experience
- Proficiency with Microsoft applications (Word, Excel, and PowerPoint); working knowledge of Access databases
- Excellent oral and written communications skills
- Ability to handle confidential information in a professional manner
The ideal candidate will also possess:
- Bachelor’s degree in business or a related field
- Previous work experience in a medical or health services affiliated association
