Position Description: The Operations Manager will be in charge of facilities management and general administrative coordination for an organization of 70+ staff and multiple field offices. The position will have responsibility for general office administration, including facilities management, purchasing and vendor management, and coordination with Human Resources and Finance Departments on the implementation of policies and procedures. The Operations Manager will supervise the Receptionist/Operations Assistant.



Principal Responsibilities:



• Responsible for the day-to-day management and operations of CCC’s DC office; this includes:

o Frequent inspection of the facilities and monitoring and reviewing information from documents, events, or the environment to detect or assess problems.

o Serving as the point person on building and/or equipment maintenance/repairs issues. Coordinating with IT as appropriate

o Obtaining quotes/bids for maintenance and repairs, evaluating proposals and making recommendations on contract awards and vendor selection. Point of contact with vendors

o Overseeing the building cleaning contract.

o Serving as point person for security system

o Supervising the scheduling/use of conference rooms (by in-house and external groups).

o Serving as the liaison between CCC and its tenants with respect to facilities’ issues

o Preparing and managing a preventive maintenance program that includes heating, air conditioning, physical plant, and equipment.

o Space planning and management, including coordinating space assignments and internal office moves, ensuring that workstations are ready for use on a new employee’s first day, and supervising alteration of office areas and equipment as needed.



• Responsible for the pricing and purchase of office supplies, furniture, office equipment, etc., in accordance with company purchasing policies and budgetary restrictions. Oversees staff responsible for ordering and maintaining inventory of office supplies.



• Manages CCC travel agent, including working with project managers and vendors to coordinate/negotiate conference/meeting discounts and/or favored vendor list



• Serves as a point of contact on administrative/operations-related information with the various field offices. Serves as point of contact for the landlords/building superintendents of CCC’s satellite offices (NY, Chicago).



• Coordinates with staff of the various field offices office supplies; equipment; furniture and other needs. Coordinates with IT the set up of work stations for outstation staff



• Coordinates with plan broker regarding CCC’s Liability Insurance program. Ensures plan broker receives changes in address and coverage needs.



• Ensures that all CCC office facilities meet government regulations and environmental, health, and security standards. Keeps in compliance with and abreast of OSHA regulations and ensures compliance with all other applicable federal and/or state laws and regulations.



• Develops, manages and coordinates emergency plans for all CCC offices.



• Prepares manuals and other materials describing procedures and standards as they relate to the facilities or administrative matters. Advises employees when unusual work situations arise or when new procedures are instituted. Monitors staff compliance with administrative and facilities policies and procedures.



• Coordinates or oversees the coordination logistics for staff meetings and special events as requested.



• Supervision of the DC Receptionist/Operations Assistant



• Other tasks as assigned.



Qualifications:

• At least three years experience managing operations in an organization of similar size/complexity. Demonstrated experience with facilities planning and management, purchasing and inventory control, contract/vendor management.



• Sound judgment and decision making. Demonstrated ability to analyze problems and resolve them quickly.



• Demonstrated ability to work independently yet coordinate work efforts with other employees and organizations and communicate in a timely manner. Must be a self-starter who can work well with people at all levels, both in and out of the organization.



• Ability to plan, organize and prioritize time and workload to accomplish tasks and meet deadlines. Must be able to work well under pressure, be flexible and take initiative.



• Attention to detail. Ability to review work for quality and accuracy.



• Must be able to communicate information and ideas clearly, and concisely and in a manner that shows sensitivity, tact, and professionalism.



• Ability to gather data, compile information and prepare reports.



• Skill in the use of personal computers and related software applications.
